  • Review Purchase Packages as your “second set of eyes” for compliance and accuracy
  • Introduce and coordinate with all parties
  • Open escrow & coordinate earnest monies, order title where appropriate, distribute em receipt
  • Create detailed closing checklist customized to Agent workflow and communicate established timeline
  • Obtain all signatures and paperwork from all parties from your prepared documents , deliver securely
  • Communicate transaction timeline with all parties
  • Set up Agent portal for 24 hr monitoring of transaction progress
  • Initiate and maintain secure paperless file and material communication logs for TC’s communications with all parties

During

Transaction


  • Manage and track key dates and contingencies
  • Communicate progress weekly keeping all parties on track
  • Proactive and timely updating and reminding to all parties for important next steps
  • Monitor/support agent efforts and follow-up with loan process, insurance & inspections
  • Complete regular, in-house cross audits of every transaction
  • Order and coordinate warranties and HOA requirements/transfers
  • Delivery of documents to brokerage/agent compliance systems

Closing &

Beyond


  • Coordinate signing appointments
  • Request reviews/testimonial from client and follow up receipt
  • Send Settle Statements on Agent behalf (January following close of sale)
  • Provide PDF of any substantive communication TC has available for compliance
  • Create “just sold” or client testimonial post for your social media

Listing Coordination

Tasks can include:

  • Ordering title, Exhibit A, last deed, marketing package**
  • Collecting HOA information, Sewer Summary order, and other associated documents
  • Track and review Seller Disclosure
  • Listing forms file setup
  • Order photos
  • Order Sign and lockbox installation
  • Set up #800 call in numbers
  • Enter Property to MLS and update until property is sold
  • Create 1 branded “Just Listed” flyer pdf
  • Create 1 branded “Just Listed” social media post
  • Create Agent portal for 24/7 access to entire process, documents and completed task update
  • Create Seller portal for 24/7 access to documents and milestones
  • Email Sellers “listing is live” with links
  • Email MLS printout for seller approval/initials
  • Send introduction email and link to Seller Portal
  • All brokerage compliance uploads
  • Complete and track all signatures

(order must include Executed Listing Agreement, minimum of 1 photo, and completed MLS Information Input form) 

**TC will begin working to get pre-list work completed at request. Lodestar does not bill Listing Coordination until the executed Listing Agreement is received. 


NOTE:
All Listing Coordination requires MLS Access with Brokerage agreement. For Spokane MLS, this is a one-time setup fee of $100 and a charge of $15 per month. Lodestar may share costs where it is financially feasible.
